Save and reuse import/export field mappings with templates

Overview

Templates in PrimeLink allow you to save your field mapping configurations and reuse them for future imports or exports. This saves time when you need to import similar data structures repeatedly, such as regular product updates from suppliers.

Templates are automatically organized by entity type (products, orders, customers, etc.) and can be loaded directly in the import/export wizard at Step 5 (Field Mapping).

Saving a Template

Step 1: Configure Your Mapping

First, set up your field mapping in Step 5 of the import/export wizard:

  1. Map all the fields you want to save
  2. Configure any field transformations or options
  3. Set up any custom field mappings

Step 2: Save the Template

In Step 5 (Field Mapping Studio), you'll find the "Load & Save Settings" section:

  1. Enter a descriptive template name in the input field
  2. Click the Save button
  3. The template will be saved with your current mapping configuration

Template Naming

Templates are automatically prefixed with the entity type:

  • Products: product:Template Name
  • Orders: order:Template Name
  • Customers: customer:Template Name
  • And so on for other entity types

This ensures templates are organized by type and prevents conflicts between different entity types.

💡 Tip: Use descriptive names like "Supplier Products", "Monthly Orders", or "Customer Import" to easily identify templates later.

Loading a Template

Step 1: Access Template List

In Step 5 (Field Mapping Studio), the "Load & Save Settings" section includes a template dropdown:

  1. Click on the template dropdown/select field
  2. You'll see a list of all saved templates for the current entity type
  3. Templates are filtered by entity type automatically

Step 2: Select and Load Template

  1. Select the template you want to use from the dropdown
  2. Click Load (or the template may load automatically on selection)
  3. All field mappings from the template will be applied to your current import/export

What Gets Loaded

When you load a template, the following are restored:

  • All field mappings (source fields → WooCommerce fields)
  • Field transformations and options (prefixes, suffixes, transforms)
  • Custom field mappings
  • Image mappings
  • Taxonomy mappings (categories, tags)
  • Other mapping configurations

Managing Templates

Viewing All Templates

Templates are stored per entity type and can be viewed in the template dropdown in Step 5. Each template shows its full name including the entity type prefix.

Deleting Templates

To delete a template:

  1. Go to PrimeLink → Templates (if available in the admin menu)
  2. Or use the template management interface in Step 5
  3. Select the template you want to delete
  4. Click Delete and confirm
⚠️ Warning: Deleting a template is permanent and cannot be undone. Make sure you no longer need the template before deleting it.

Editing Templates

Templates cannot be directly edited. To update a template:

  1. Load the template you want to modify
  2. Make your changes to the field mappings
  3. Save it again with the same name (it will overwrite the existing template)
  4. Or save it with a new name to keep both versions

Template Best Practices

  • Use descriptive names: Name templates clearly so you can identify their purpose later
  • Test before saving: Run a test import with your mapping before saving it as a template
  • Version your templates: Save updated templates with version numbers (e.g., "Supplier Products v2")
  • Organize by source: Create separate templates for different data sources
  • Document complex mappings: Add notes in template names about special configurations
  • Keep templates updated: Update templates when your data structure changes

Use Cases

Regular Supplier Imports

If you import products from the same supplier regularly:

  1. Set up the mapping once and save it as a template
  2. For future imports, load the template and adjust only if needed
  3. This saves time and ensures consistency

Multiple Store Locations

If you manage multiple stores with similar structures:

  • Create a base template for your product structure
  • Load it for each store and make minor adjustments
  • Save store-specific templates if needed

Different Data Sources

If you import from multiple sources with different formats:

  • Create a template for each source type
  • Name them clearly (e.g., "Shopify Products", "CSV Supplier")
  • Switch between templates as needed
